Event (Festival) Public Relations and Communication Coordinator
Hanart Culture is the producer of the Chinese Lantern Festival and provides an exciting opportunity and challenging position in an energetic festival environment. We are seeking an experienced, creative and highly motivated Communication Coordinator who is truly organized and possesses excellent communication and interpersonal skills. Reporting directly to both the Marketing Manager as well as the CEO. The Communication Coordinator will oversee media and social media communications, press releases, day time events calendar, and collateral creations for our existing and future exciting projects.
Desired Experience, Education, Knowledge, Skills, Abilities & Proficiencies:
— A minimum of 5 years’ experience in communication for festivals or similar special events, with excellent work ethic and professional approach;
— Bachelor’s degree preferred in communication, PR, journalism or related field; Significant work experience can substitute for the degree.
— Developing successful communication strategies and delivering timely, effective and comprehensive PR campaigns for events;
— Mastery of traditional and digital visitor development techniques and processes through advanced use of technology and social media as well as presentation platforms to appeal to a broad audience;
— Effective copywriting and presentation skills to create content for websites, press releases and e—mail communications;
— Excellent interpersonal skills and ability to manage multiple projects and relationships under pressure, discern work priorities and meet deadlines in a fast—paced and high— performing environment;
— Expertise in devising imaginative and successful PR activities as well as digital promotions (familiar with SEO, web editing and digital media strategies);
— A thorough understanding of different aspects of event planning, including marketing, presentation, logistics, ticketing, catering, critics, art journals, consumer besides media and PR.
— Pro—active, self—motivated and adaptable to evolving needs, bursting with ideas and prepared to go the extra mile for the role;
— Detail and result oriented and critical thinking, problem solving, judgment, decision making ability, with strong professional demeanors;
— An ability to take initiative, work independently and to collaborate with others;
— Knowledge and appreciation of folk arts, culture and heritage is a definite asset;
— Proficiency in Windows and Microsoft Office.
Position: Full time, permanent, immediate start date,
Salary: $29,000 to $35,000 per annum dependent upon experience
Schedule: Weekdays, with some evenings and weekends; Travel and valid Driver’s License is required.
— Analyze and interpret visitor data; Set the tone, develop, assist to implement and manage the festivals’ communication strategies and programs based on branding and positioning;
— Oversee the effective and timely communication of the festivals’ full range activities and write copy for press material including releases, new media postings;
— Manage websites and mobile applications including structure, content, e—newsletter, navigation, usability, appearance, and functionality. Develop and foster web site strategic plan, including implementation of new initiatives that will allow the site to better serve and attract visitors;
— Liaise with graphic designer and website developer to lead, oversee and provide direction to the creation of media and collateral materials, including digital PR material, pamphlet, poster, signage, audiovisual recording and printing;
— Stay current on emerging technologies to provide insight related to content management practices and industry best practices;
— Find ways to promote the website – via search engine listings, developing appropriate collaborative website links; Apply new developments within the industry and exploit new web tools and approaches;
— Be versed in new media ensuring most appropriate channels and technologies are used reach a wide and diverse audience and effective communications presented to the highest possible standards;
— Provide regular reports and analysis on web and digital media usage and trends using Google Analytics and on—line sources; Advise on future developments and direction of web and digital delivery;
— Leverage social media platforms, develop and support outreach strategies to enthuse potential visitors of culture and heritage and drive attendance;
— Represent and speak for the Festival at relevant conference calls and interviews with agents, media, communities.
— Work with ticketing to arrange for giveaways / promotions / contests;
— Support external communication efforts for newspaper, radio and or TV interviews; Assist onsite PR coordinators with preparation of presentations for a wide variety of medium;
— Develop close relationships with a broad range of media including broadcast, online, arts, consumer, regional and local media contacts;
— Effective writing of clear and enthusiastic scripts for management when presenting information to the public; Manage social media channels including responding to public queries;
— Advise team members on their roles in effective communication for consistent branding and in alignment with overall event standards;
— Monitor and evaluate the digital outputs in order to provide continual feedback and learning opportunities for the whole team;
— Research, devise, plan and schedule various promotional social gatherings, programs and activities; Produce and edit digital media postings regularly for major supporting events;
— Oversee execution of occasions including direction, theme, and content of presentations, guest speakers, and activities. Ensure engagement and alignment to business objectives and core values;
— Evaluate, recommend and manage the budget for the functional area of responsibility; Negotiate prices with vendors to ensure department expenses are maintained within budget;
— Create, keep current, and provide communication guidelines relating to events and maintain existing procedures and standards of excellence for processes and methods;
— Monitor and assist with preparations of media preview and event planner parties; Publicize the festival through community outreach with the objective of attracting additional visitors;
— Build and steward positive and engaging community partner relations with relevant community organizations and other local events to widen audience exposure and raise event profile;
— Vet local organizations for viability of partnership for all festivals. Organize, communicate, and promote sponsorship events for all festivals;
— Assist in stewarding special guests and managing coordinators during the festival opening ceremonies;

— Conduct business at all times with the highest standards of personal, professional and ethical conduct;
— Ensure all safety precautions are followed while performing the work;
— Provide support for activities of marketing department and box office when needed;
— Perform or assist with any operations as required to maintain workflow and to meet schedules;
— Assist with executive communication as needed;
— Perform any range of special projects, tasks and other related duties as assigned;
